Overview
This project focused on the design and build of an AI-powered rota planning platform for NHS and healthcare teams.
The goal was to replace spreadsheet-led planning and manual coordination with a purpose-built system capable of producing fair, compliant rotas across departments and sites — in minutes rather than days.
Woods & Walker worked as a long-term technology partner, supporting the client from early product thinking through to a scalable, production-ready platform designed to handle real-world healthcare complexity.
The Challenge
Rota planning within healthcare is a critical operational function, but one that is traditionally slow, manual, and high risk.
Planners are required to balance:
- Fairness across clinicians and teams
- Contractual hours and role-specific rules
- Availability, leave, sickness, and last-minute changes
- Compliance with NHS and organisational policies
- Multi-site and cross-department working
These constraints are often managed using spreadsheets, email chains, and manual checks. As rotas grow in size and complexity, this approach creates significant administrative overhead, limited visibility, and increased risk of error or non-compliance.
The challenge was to design a platform that could manage this complexity reliably while remaining fast to use, easy to adopt, and commercially scalable.

Healthcare rotas are not static. Availability updates, holiday requests, shift swaps, and emergency cover all introduce constant change.
We designed the platform around an event-driven architecture, allowing it to respond intelligently whenever something changes. Updates to rotas, requests, or approvals automatically trigger the correct downstream actions and notifications.
This approach enables:
